Whether you want to create a letter, memo, report, PowerPoint presentation or other document, you can access the templates with a single click on the Templafy button. You’ll find this button in the top-left corner of the ribbon in Word or PowerPoint. This ensures that you always use the most up-to-date templates and that your correspondence is always in line with the UvA corporate identity.

Installing Templafy on a UvA-supported workstation

You can install Templafy on your UvA-supported ICT workstation in just a few simple steps.

  1. Install Templafy on your UvA computer via the Software Centre.
  2. After installation, complete the setup. Click ‘Access Templafy’ and enter your UvANetID to log in. After setup, Templafy uses the language settings of your computer.
  3. Complete your profile with your personal details. You only need to enter these details once; Templafy will automatically use them whenever you use the tool. If you work at different locations or for different organisational units within the UvA, you can create multiple profiles. See the tips and guides for more information.

Installing Templafy on a self-support computer

If you use a self-support computer and Templafy does not automatically appear in the ribbon, you can download the templates via uva.templafy.com. You can also manually add the web add-in to Microsoft Office applications via the Microsoft Office Store.

Adding Templafy via Microsoft Office applications

  1. In an application such as Microsoft Word, go to the Insert tab and click My Add-ins.
  2. Select Templafy Company Templates and click Add.
  3. Sign in with your UvANetID to access the UvA templates, icons and image bank in Microsoft Word and PowerPoint.
  4. Templafy is now available in the ribbon at the top of the Microsoft Office application.

Templates in Microsoft Word

In Microsoft Word, you can use Templafy to create a letter, memo, minutes, report, agenda or decision document. Each template includes a number of fields that help you complete a document quickly and in line with the UvA corporate identity. Once you have entered the requested information, you can continue working on your document. Want to update the standard information you entered? Click ‘Update document’ and edit the details. Your document will be updated immediately with the new information.

Template in Microsoft PowerPoint

You can use the UvA PowerPoint template directly from PowerPoint. The template includes a range of slide options. You can also add photos from the UvA image bank or upload photos from your own computer. In addition, you can easily use UvA icons to make your presentation even more engaging.

Tips and guides

  • 1. Create or update your profile

    Open Templafy and click the three dots on the right-hand side of the Templafy window. Then click ‘Manage user profile’. Select your profile and edit your details. Click ‘Save and close’.

    Are you working in a document and want to apply your updated details to it? Click ‘Update document’ on the right, then click ‘Update’ again. Your details will now be updated in the document.

  • 2. I would like to create a Dutch and an English profile

    Open Templafy and click the three dots on the right-hand side of the Templafy window. Then click ‘Manage user profile’. Click the plus sign to add a new user profile. Complete the user profile and select the desired language setting for your profile under ‘Language’. Click ‘Create’. The template can now switch between Dutch and English.

    Have you started in Dutch but want to switch to an English document? Click ‘Update document’. Select the desired profile. Adjust the ‘opening line’ and ‘closing line’, then click ‘Update document’.

  • 3. I work for multiple organisational units within the UvA. I therefore want to create multiple profiles

    Open Templafy and click the three dots on the right-hand side of the Templafy window. Then click ‘Manage user profile’. Click the plus sign to add a new user profile. Complete the user profile and select the organisational unit and sub-unit for your second profile. Click ‘Create’. You can now switch between your two profiles.

    Have you started in one of the two profiles but want to switch to the other? Click ‘Update document’. Select the desired profile and click ‘Update’. Your details, such as the address and the corresponding UvA logo of the organisational unit you work for, will now be updated.

  • 4. You want to create a document on behalf of a colleague or supervisor
    1. Ask the person you are creating a document for to install Templafy on their UvA workstation. When creating their user profile, make sure the ‘Allow others to subscribe to this profile’ box is checked.
    2. Go to your own Templafy environment. Click ‘Add user profile’ and subscribe to your colleague’s or manager’s user profile. This user profile will now also be available when you start a new document or select ‘Update document’.
  • 5. Templafy installation is not working

    If you are unable to install Templafy on your UvA-supported workstation or the tool is not working, please contact the ICT Service Desk.   • 8. What can I do if Templafy displays the message ‘Add-in unavailable’?

    If Templafy indicates that the add-in is unavailable, you need to reinstall Templafy. Follow the steps below to reinstall Templafy.

    1. Close all Office applications that are open.
    2. Open the Software Centre and search for Templafy.
    3. Click the ‘Uninstall’ button and let the Software Centre remove Templafy from your computer.
    4. Close the Software Centre.
    5. Open the Software Centre again and search for Templafy. You will now see an ‘Install’ button.
    6. Reinstall Templafy by clicking ‘Install’.
    7. After installation, a Templafy window will open automatically. This indicates that an update is being installed. The latest version has been installed when a green tick appears next to ‘Status’.
    8. If you are shown as logged out in this window, log in with your UvA credentials.
    9. Then open Word or PowerPoint. The button for accessing the UvA templates via Templafy is now available in the top-left corner of the ribbon.
