Depending on what has been agreed with the client, Educational Events & Conferences can organise every last detail of an event, or just certain parts of it. So what does that mean?
Venue, catering, conference materials
Educational Events & Conferences will look for a suitable venue for your event, either within or outside the University. The venue choice will of course depend on the nature of the event, the number of participants, the programme and your budget. We can organise catering, furnishings and decorations, equipment, poster sessions and sponsor markets. In addition, we can also produce your conference materials, such as conference bags and memory sticks featuring your logo, and your book of abstracts.
Participant registration, abstract handling and hotel service
You can also outsource participant registration and abstract handling to Educational Events & Conferences, which uses an automated system for this and an online form tailored specifically to your conference.
We would also be happy to organise your conference dinner or a social programme for the partners of conference participants. We work with a hotel service to book hotels for speakers and/or participants, which means we can guarantee hotel rooms for your conference (though not necessarily at the lowest prices).
During the event itself, our staff will ensure that everyone is properly welcomed and that every part of the programme runs smoothly. We will of course also ensure the quality of the catering, technology and cleaning.
We will take full responsibility for handling the finances for your event. Having agreed upon a budget with you, we will stick to this throughout the project. Of course, final responsibility for the budget lies with you. We use a separate bank account to receive payment from participants and sponsors and to pay for catering, venue hire and so on.
We calculate our hours in arrears, so you will only ever be charged for the hours we have actually worked.
