After you have received a conditional offer to (pre-)Master programme, you need to send the Admissions Office a copy of your certified documents. We require these documents to make your offer unconditional and ensure the authenticity of your final transcript and degree certificate. This is because the documents in your application are unofficial, hence why you should provide the certified documentation.
  • What is a certified document?

    A certified document is an official copy of the original document provided by a representative of your home institution or notery.

    Please note that:

    • This is not the same as a photocopy of a certified document.
    • The language should be English, Dutch, German, or French. Documents in other languages must be submitted in their original language along with an official translation made by a sworn translator.
  • What types of documents do we need from you?

    In Embark and your conditional email, you will find what certified documents we require from you. Here you find per document information on what is needed:

    Bachelor’s or Master’s degree certificate (diploma) obtained at the UvA

    Make sure you apply for your degree certificate before 1 July. Information on applying for your degree certificate can be found on this page at student.uva.nl.

    The Admissions Office will manually check whether you have graduated during August (For the February start this will be during January). You do not have to do anything for this. Once this has been checked by the admissions office, your conditional offer will be converted into an unconditional offer.

    You must graduate from your (Bachelor's) programme by 31 August at the latest. (For the February start 2025 by 31 January). 

    If you already hold your degree, you can also inform us of your graduation by using this form, so that we will be able to verify it. 

    Bachelor’s or Master’s degree certificate (diploma) obtained in the Netherlands 

    If you will obtain or have obtained your Bachelor's degree at a Dutch university, you don't have to submit certified documents to show proof of your graduation. Once this has been checked in DUO by the Admissions Office, your conditional admission will be converted into an unconditional offer. 

    If you have not received an unconditional offer by 15 August you do need to inform us about your graduation via this form, so that the admissions office will be able to verify it for you online via DUO.
    You must graduate from your (Bachelor's) programme by 31 August at the latest. (For the February start 2025 by 31 January). So make sure you have taken the right steps with your educational institution to officially graduate well before this deadline.  

    Bachelor’s or Master’s degree certificate (diploma) obtained outside the Netherlands

    If you obtain or have obtained your Bachelor's diploma at a non-Dutch university, you need to submit the following certified copies of your official documents: 

    • Certified copies of both your original and translated higher education diploma(s). 
    • Certified copies of both your original and translated final transcript(s).
    • GMAT, GRE and/or English language proficiency (if applicable)

    Students who need visa and/or residence permit assistance 

    • Starting in September: preferably before 1 July but no later than 1 August. 
    • Starting in February: preferably before 1 December,  but no later than 1 January.

    To ensure timely support with crucial administrative tasks for visa applications, we have established the deadline provided above.

    If your diploma will not be issued before the stipulated deadline of 1 August, you can submit a graduation statement instead.

    All other students 

    • Starting in September: preferably before 1 August but no later than 31 August. 
    • Starting in February: preferably before 1 January but no later than 31 January

    Graduation Statement 

    In a Graduation Statement, your university needs to declare that you have fulfilled all the graduation requirements and have graduated from the Bachelor’s or Master’s programme. It should also state your exact graduation date. Your graduation date cannot be later than 31 August 2024 for the September 2024 start and 31 January 2025 for the February 2025 start.  

    The document should be on official letterhead of your home institution and has to contain the following information: 

    • First (given) name and Last name; 
    • Date of birth; 
    • Country of birth; 
    • Current Bachelor’s education; 
    • That you have completely fulfilled all graduation requirements from your Bachelor’s and/or Master’s programme; 
    • September 2024 start: Firm graduation date (note: this has to be any date before 1 September 2024. ‘Expected’ or 'provisional' graduation dates are not accepted); 
    • February 2025 start: Firm graduation date (note: this has to be any date before 1 february 2025. ‘Expected’ or 'provisional' graduation dates are not accepted); 
    • Stamp and signature from a representative of your home institution. 

    3. GMAT, GRE and/or English language proficiency (if applicable)

    If you are asked to prove that you meet the required level of GMAT, GRE and/or English, please share the results of one of the accepted institutes. You can find the accepted tests and minimum scores in the entry requirements of your programme. For some of the test results, you are required to authorise us to receive or access your results, and to do so, you need to use our institution codes: TOEFL 9011, GMAT 0500 and GRE 7878.

  • What is the deadline for sending certified documents?

    Have your documents verified in time by the Admissions Office for an unconditional offer before the start of the programme.

    Students who need visa and/or residence permit assistance 

    • Starting in September: preferably before 1 July but no later than 1 August. 
    • Starting in February: preferably before 1 December, but no later than 1 January.

  • How to submit your certified documents (non-Dutch degree)

    Please ask a representative of your university to send us your certified documents to: documents-eb@uva.nl or through a secure portal, for example, via Parchment, Hear, CSSD, E-Script or Gradintelligence.

    Important info:   
    Email: We do not accept digital documents sent to us by students and/or from a student email address. 
    Digital portal: We can only accept certified documents sent by students if they are submitted through a secure portal. 
    Drop off: Regrettably, we are unable to accommodate any physical drop-offs of your documents in person. 

    TOEFL, GMAT or GRE results

    In case of TOEFL, GMAT or GRE results, you need to authorise us to receive or access your results. Please use our institution codes for this: TOEFL 9011, GMAT 0500 and GRE 7878.

  • What happens after we have received your documents?

    Once we have received your certified documents, we aim to verify them within 3-4 weeks. Upon successful verification, you will promptly receive an email confirming your definitive admission. Additionally, your Enrolment Checklist status will be updated to 'completed'. This checklist will outline any remaining steps required to finalize your enrollment in the programme, such as tuition fee payment.
